Job Description - Billing and Administrative Assistant

We are looking for a billing and administrative assistant to complete our team.  Your role will be to work alongside the Operations Manager, Clinical Director, and Office Manager with insurance, billing, and accounts receivable.  You will also work with clients on implementing agency policies and procedures around verifying and billing insurance, collecting payment for services, supporting clinicians with insurance credentialing and billing issues, and assisting clients with payment-related concerns.  Lastly, you will regularly interface with agency insurance partners including Oregon Health Plan (OHP) Coordinated Care Organizations (CCOs) and private insurances.

Responsibilities and Duties:

​

  • Verifying insurance information for all new clients and intakes, and reverification on a monthly basis.

  • Generating and collecting invoices for co-insurance, co-payments, private pay, etc. from clients.

  • Assisting clinicians with setting up sliding fee scale agreements in EHR Completing daily charges and insurance claims for approximately ten clinicians

  • Regularly generating aging reports and following up on all unpaid insurance claims with insurance partners

  • Maintaining credentialing files for all clinical staff

  • Allocating insurance and other payments to client accounts

  • Attend regular meetings with leadership team and clinical team

  • Additional support tasks for Operations Manager, Clinical Director, and Office Manager as needed.

 

Qualifications and Skills:

 

  • Ability to work with a diverse population receiving mental health services, including individuals in crisis

  • Experience with medical billing is required.

  • Experience with Centers for Medicare & Medicaid Services (CMS), including Oregon Health Plan, preferred.

  • Understanding of health insurance processes and ability to communicate these processes to diverse clients and staff

  • Strong computer skills, including using EHR, Microsoft Office software, and Google Workspace.  

  • Detail-oriented, systematic mindset with strong organizational skills.

  • Clear, timely, and kind written and verbal communication skills.

  • Ability to give and receive feedback with your team in a brave space, openness to discussing problems and issues, ability to engage in consensus-based problem-solving. 

 

Salary:

​

0.5 FTE minimum (up to 0.75 FTE) beginning at $22/hour, with pay differential available for bilingual individuals and individuals who identify with marginalized populations as defined by Oregon Health Authority.  This position is eligible for paid leave through Paid Leave Oregon.
